Privacy Policy

AheadMind Academy offers live online tutoring for students preparing for GCSE, IGCSE, AS and A Level exams and for university. Many of the people we help are under 18, so we collect as little as we can, use it only to help you, and never sell it. This policy explains what we collect, why, who we share it with and the rights you have.

1. Who we are

AheadMind Academy ("we", "us") is responsible for the personal information described in this policy and decides how it is used. In data protection law this makes us the controller.

For any question about your information, or to use any of your rights, contact us at [email protected] or on WhatsApp at +44 6666 724529.

2. What we collect

When you register for a free trial

  • your name, email address and WhatsApp number;
  • the programmes you are interested in and, where relevant, the curriculum, stage and subjects;
  • anything you choose to write in the optional message;
  • a record that you agreed to this policy, with the date and time.

When you contact us

If you message us on WhatsApp or email us, we receive your number or address and whatever you choose to send.

When you visit the website

  • Anonymous statistics: which pages are viewed, roughly where in the world visits come from (country level), the type of device and browser, and whether buttons such as "Book a Free Demo" or WhatsApp were used and whether the registration form was sent. These figures cannot identify you, and they never include anything you type into the form.
  • Technical data: like every website, our hosting provider handles your IP address and browser details to deliver pages and protect the site from attacks.

We do not ask for, and ask you not to send us, sensitive information such as health details, unless you want us to know about something that affects how we teach (for example, exam access arrangements).

3. How we use it, and why we are allowed to

What we doLegal basis (UK GDPR)
Reply to your registration or message and arrange the free trial lesson Your consent, and steps you have asked us to take before any agreement
Teach, schedule lessons and keep in touch if you go on to enrol Performing our agreement with you
Understand how the website is used so we can improve it, and keep it secure Our legitimate interests, using only anonymous statistics
Keep records we are required to keep, such as for accounting Legal obligation

We do not send marketing messages unless you have asked for them, we do not use your information for advertising or profiling, and we never sell it. You can withdraw your consent at any time by contacting us; this does not affect anything we did before you withdrew it.

4. Children and young people

Our students are mostly aged 14 to 18, so we follow the Information Commissioner's Office Age Appropriate Design Code (the Children's Code). In practice this means:

  • we collect only what we need to arrange and deliver tutoring;
  • a student under 16 must have a parent or guardian's agreement before registering;
  • we usually arrange lessons with a parent or guardian, and involve them where appropriate;
  • the website has no advertising, no social features and no tracking cookies, and does not profile anyone;
  • we explain things in plain language, and a young person can contact us about their information directly.

If you are a parent or guardian and believe your child has given us information without your knowledge, contact us and we will help.

5. Who we share it with

We use a small number of trusted service providers. They handle information only on our instructions and only for the purpose described:

  • Cloudflare: hosts the website and protects it from attacks.
  • Web3Forms: delivers your free trial registration to our inbox by email.
  • Zoho Mail: our email service, where registrations and emails are stored.
  • WhatsApp (Meta): used when you message us or we message you to arrange lessons.
  • Umami: provides the anonymous, cookie-free website statistics described above.

We do not share your information with anyone else unless the law requires it or it is needed to protect someone's safety.

6. Transfers outside the UK

Some of these providers store or process information outside the UK. Where they do, we rely on the protections UK law requires, such as a UK adequacy decision or the approved contract clauses (the UK International Data Transfer Agreement or Addendum).

7. How long we keep it

  • Registrations and messages that do not lead to lessons: deleted within 12 months of our last contact with you.
  • Students who enrol: kept while lessons continue and for up to 2 years afterwards, then deleted, except for any records we must keep for longer by law (such as accounting records).
  • Anonymous website statistics: kept in summary form only.

You can ask us to delete your information sooner (see section 9).

8. Cookies and browser storage

This website does not use cookies, and our statistics service works without them, so there is nothing to accept or decline. The site keeps two small notes in your browser's session storage, which are deleted when you close the tab and contain no personal information:

  • that you have already seen the opening animation, so it is not shown on every page;
  • that the "Chat with us" tip has been shown, so it does not keep reappearing.

9. Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the information we hold about you;
  • ask us to correct anything that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to limit how we use it, or object to how we use it;
  • ask us to pass it to you or another organisation in a usable format;
  • withdraw your consent at any time.

To use any of these rights, email [email protected]. We will respond within one month. A parent or guardian can make a request on behalf of a child, and a young person who understands their rights can make one for themselves.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

10. Keeping it safe

The website is served only over an encrypted connection (HTTPS). Access to registrations and messages is limited to the people who need it to arrange and deliver lessons, and our providers are chosen for their security standards.

11. Changes to this policy

We will update this page if the way we handle information changes, and change the "last updated" date above. If a change is significant, we will tell students and families who are currently with us.
